Document – Communicate
Documentation of project status and communication to key stakeholders is critical to the team-based approach and ongoing project success.
For each Job Coordination Meeting (JCM), the Draper consultant utilizes a key set of tools to document what was discussed, the plan moving forward and the challenges to project success. These tools are updated and compiled into the Project Progress Report following each meeting. We believe that timely communication is critical and our team strives to produce and deliver the Report within 48 hours of the JCM.
The content of the Report can be customized based upon specific client needs, but the typical report includes the items listed below. A sample of a Progress Report can be downloaded at the link on this page.
- Meeting Attendee List- documentation of all parties in attendance
- Project Summary – a written narrative of the projects schedule status
- Critical Issues – items impacting schedule success that should be addressed immediately
- Status Reports – written analysis of progress with supporting photographs
- Trend Chart(s) – graphic representation of how a particular key event or milestone is progressing towards completion
- Key Plan – graphic representation of how a project is to be phased
- Near Term Schedules – schedule reflecting the short term commitments that were made by subcontractors/trades during the JCM
- Action Item Agenda – documentation of issues impacting schedule and commitments made during JCM
- Superseded Near Terms – updated NTS reflecting progress discussed at the JCM and service as historical record of the project status
- Distribution List – identification of project participants as dictated by the phase of the project.
